Meeting Spaces

Reserve dedicated space to host your AFFI-CON business meetings to maximize your time at the event and close more business deals.

The Hyatt Regency Dallas is home to all AFFI-CON events, meeting rooms, suites, company showcases, semi-private meeting areas. You can explore the details of each of these spaces below.

The deadline to request private hotel meeting rooms and suites is October 18, 2024. Assignment notifications will be shared by October 30, 2024. If you complete a request for a suite or meeting room after this date, you will be placed on a waitlist and notified should your status change. All meeting rooms and suites are assigned per the AFFI-CON Council policy.

Meeting Rooms

Fully private spaces are located on the lower floors of the hotel. Rates range from $600 to $900 daily, with a minimum three-day rental. Additional days are subject to availability. Each meeting room has a complimentary setup of one conference-style seating and ten chairs, a complimentary water station inside the room, and basic Wi-Fi access for emails and web browsing. Catering can be arranged for an additional charge, and signage is permitted outside your meeting room door.

Semi-Private Options

Company Showcases

A dedicated reserved 10×10 meeting space in the AFFI-CON Hub allows you to promote your company with booth signage and host meetings. This offering enables you to exhibit and meet in a dedicated reserved space. The showcase will have one 30” round table, four chairs, and complimentary basic Wi-Fi for emails and web browsing. Company Showcases are available from Saturday, Feb. 22, to Monday, Feb. 24.

Negotiation Nooks – NEW!

A dedicated reserved 10×15 space with four privacy curtains is located in Marsalis Hall on the hotel’s lower level. This space offers a 30” round table, six chairs, complimentary laptop power and basic Wi-Fi, and the ability to add banners/company signage. Nooks are available from Saturday, Feb. 22, to Tuesday, Feb. 25.

Semi-Private Tables

Located in a section of The Hub, these reserved tables provide a dedicated reserved meeting space at our lowest rate. This space provides a 66” round table, six chairs, a tabletop sign, complimentary laptop power, and basic Wi-Fi. We encourage you to brand the space with a custom tablecloth. Pop-up banners are not permitted in this space. Tables are available from Saturday, Feb. 22, to Monday, Feb. 24. There is an option to add Tuesday, Feb. 25, at no additional cost; please contact AFFI to learn more.

Priority Points System

The priority point system is based on these key factors:

  1. AFFI Membership Type
  2. Sponsorship
  3. Membership Dues Level (Tie-breaker)

The points system is designed to give the highest preference to AFFI processor and associate members, followed by sponsorship. AFFI membership dues will be a tiebreaker in a priority point system tie.

A company’s standing can change yearly depending on AFFI membership growth, sponsorship sales, and the number of requests received. The host property offers limited meeting rooms and suites; your first choice and/or multiple requests are not guaranteed.
